What is an Electronic Invoice?

Electronic invoices, as the name implies, replace the use of paper invoices (used to formalize a transaction by specifying the generated taxes and items). In this way, an electronic invoice is expected to generate many benefits, some of which are the following:

  • Greater degree of authenticity of origin (making counterfeiting very difficult).
  • Certainty and integrity of the information.
  • Being digital, a copy of it has the same value as the original version generated.
  • Flexibility to create data structures to control business aspects or transactions that need to be read automatically by systems.
  • Environmentally friendly (You never have to print it; just keep the XML file)

Since 2016, all companies are required to issue Digital Tax Receipts over the Internet (CFDI or Electronic Invoice), but this is not new since the S.A.T had been working for several years with this new digital invoicing format with some companies.

In short, if you are an entrepreneur or intend to be one, you must consider that you are obliged to issue Electronic Invoices over the Internet. Therefore, there are some things you should know:

  • Be duly registered with the S.A.T (Tax Administration System).
  • If you want to start issuing CFDIs (Digital Tax Receipts over the Internet or Electronic Invoices) you must have your FIEL (Advanced Electronic Signature) and generate a CSD (Digital Seal Certificate).
  • You must have a system through which you can issue electronic invoices or use the version provided by the SAT on its portal.
  • You must be careful to have your business activity well defined, since this determines that you can issue your invoices correctly and choose the appropriate elements of the invoice. Example:
    • Units of Measure: Piece, Kilogram, Meter
